Account management
Accounts are used to organize transactions (expenses and income). An account in the program represents a real-life account: bank account, credit card, cash money, or electronic money, such as PayPal or other e-commerce systems. Personal Finances allows creation of the unlimited number of accounts. The system of accounts in the program allows you to track the flow of money and see where and how much money you have at a particular moment of time. The user can view transactions associated with a particular account, or all transactions, grouped by categories, tags and family members. Each account must be associated with a currency. The list of currencies is completely customizable – you can edit the list and currency settings, add new currencies and specify the exchange rate.
The list of accounts is displayed in the main window of the program to the left of the transaction list. The user can see the name of the account, its icon, current balance in the account currency, as well as any comments (if available), short summary on scheduled transactions (the sum of planned expenses and income) and non-cleared transactions appears in hint.
Once one (or several) account(s) is selected, the user can see all the transactions, assigned to it. Select "Overall balance" at the top of the list to view all existing transactions. This option shows the general picture: overall sum of money in the selected currency and transactions of all accounts. The user can clearly see the total sum of money spent on gas, food and other items.
Setting up and defining your accounts
The list of accounts can edited in the "Accounts" dialog. The user can change the account settings, add any number of new accounts, or delete those which are no longer needed.
NOTE: When you delete an account, all transactions associated with this account will be deleted too. Be attentive to avoid the loss of important data!
The screen shows the following important items:
- Accounts Button - click here to add, edit, delete accounts in Personal Finances Pro.
- Exiting accounts.
- Edit Account - this allows you to edit the details relating to any account.
- Currency Picker - allows you to choose a new currency for the account that you're working with.
- Account group.
- Icon - Personal Finances provides a selection of icons for you to use so that you can visually distinguish one account from the other.
To add an account, follow these steps:
- Click on the "Add" button to show the Edit Account screen.
- Enter the name for the new account, e.g. "Visa"
- Choose an icon from the provided list.
- Enter the opening balance.
- Choose the currency that you will operate the account in.
